Alfazance’s journey with the client is testament of our commitment to building long-term relationships and walking along with them in their growth and transformation journey. The journey included two major upgrades, historical data migration, payroll migration, and several integrations including time and attendance system, CAFM system, biometrics system, and H2H for bank payments.
Our initial engagement began in 2014 with the implementation of Dynamics AX2012, replacing existing Navision system. The engagement also included development of functionalities to automate payroll cost allocation by actual project hours and automate forward sales revenue recognition. The second major engagement involved upgrading from Dynamics AX2012 to Dynamics 365 Cloud. The scope also involved integration with the time & attendance system, biometric attendance system, CAFM system, and H2H integration for bank payments

Complexities in payroll operations

Facility Management companies operate with large manpower and are often deployed based on projects. Given the nature of work, staff are deployed on multiple projects and may need to work overtime. The monthly payroll cycle requires collating of timesheets, verifying the accuracy, running calculations factoring various parameters (project hours, overtime, leaves, etc.) and disbursing salaries via bank transfer. The client wanted to reduce the timesheet process heterogeneity every month where all supervisors were required to fill and approve the timesheets for salary disbursal consuming huge follow-up time and delaying overall process and efficiency while impacting corporate KPI’s. Furthermore, the client used manual bank uploads for payments and salary disbursements.

Alfazance implemented functionality to auto create timesheets with time in and time out entries and integrate the system with D365 Finance & Supply Chain for seamless timesheet process. Additionally, the Host-to-Host (H2H) integration with ENBD for payments upon approval in the D365 helped avoid complex multi-step processes and direct notifications were sent to relevant stakeholders for approval post payments are auto uploaded on bank portal for disbursement.

Integration with facility management system

Microsoft Dynamics 365 ensured that the client moved to a modern, cloud-based ERP platform that helped them unify operations across functions from sales to production to warehouse to finance and human resource. With better communication and flow of information, the client was able to gain better understanding of operations across finance, sales, inventory and production. The client could rely on Dynamics 365 to provide correct, up-to-date and reliable information always.
